We would like to be able to print acknowldgee letters twice/month rather than singularly. So, a letter on the 15th of the month showing all gifts that were made to a specific tribute between the first and the 15th. We are hoping that Letter Box could support a hierarchy of Contact Types for Org Letter Receipts - for example, use the "Receipt Contact" in the first instance, or if that Contact Type doesnt exist on the record, use "Primary Contact".
Raiser's Edge Database view used to support a hierachy of contact types for receipts, which is why we have our database configured this way.
It's not uncommon for the person who should receive the receipt be somebody in finance (The Receipt Contact), while the person who should be stewarded (the Primary Contact) Is somebody completely different.
We have a workflow that lets Relationship Leads edit the body of a receipt to personalise them. Right now, the personal coordinating the receipting sends an email to the relationship lead flagging the receipt and asking them to personalise the body of the receipt. The person then replies to the email with the personalisation, and then the person coordinating the receipt goes in and edits it.
It would be great to have a shareable link to allow staff to personalise a particular letter, or even just direct them to a particular batch of letters.
In our gift acknowledgements and pledge reminders, we would like to suppress gift amounts that have cents with zero value but would like to still show any non-zero cents. for example, $25.00 would show as $25 but $25.50 would show as $25.50
Ability to assign actions to a portfolio manager so when we run an action report these will be included.
I'm looking for ways to mark gifts as acknowledged after letters have been generated, without having to use the original query. It'd be helpful to have the option in the bulk letters screen, after clicking through to a completed process, to generate a static gift query of included records. This would be more reliable for me to then mark the gifts acknowledged (NXT web view refreshes static queries so I'm finding using the source query unreliable).
When generating bulk letters, after selecting "Mark gifts as acknowledged", have a date field appear that defaults to today but allows for a future date to be entered. This will help when there is a delay between one person generating the letters and another person printing and sending them. It would remove the need to update the gifts after the fact, which is what we have to do currently.

We would like to request additional permissions within the ReadArc Platform.
Currently, users assigned to the "User" role are unable to access and manage certain Letter Box features. We would like to know whether it is possible to either:
Create a new user role (for example, Advanced User), or Modify the existing User role, so that selected users can create and edit the following Letter Box features:
-Bulk Letters
-Auto Send Letters
-Scheduled Letters
Current level of ‘User’ isn’t allowing the team to make edits to the receipts. The team need to have the ability to edit bulk letters (but would prefer if they can’t edit settings or templates).
The intention is to allow designated users to manage these functions without granting them full administrative access.
Could you please advise whether this is possible and, if so, the recommended approach?

I'm looking for the ability to send the content directly as an email not as an attachment.
So want more mail merge fields in the 'cover letter' part, and the option to send without attachment.
This is an ability to send a single templated communication to an individual constituent on an as-needed basis.
Having the ability to change what the delivery method is in a bulk letter would be great - sometime the letter needs to be forwarded to another staff memeber to send, instead of being sent directly.
Now that we can base bulk letters off gift queries - it would be great if the sort dictated in the query would apply to the bulk PDF order. For example, we have quite a few different 'letter codes' - and it would be great if the query being sorted by "letter code" then "alpha" would translate to the bulk letter - making review easier. 25+ years ago this is how my brain learned acknowledgments when we had the mail merge wizard in RE.
We have a lot of options when we go to generate a bulk letter now!
We have a detailed procedure that describes exactly what checkboxes, lists, and templates to select - but it would be great if there could just be a button we press, and a Bulk Letter run would be generated with our saved setttings. Way less risk of generating letters and forgetting to check "apply receipt number"
I would be great if we could support Merge fields in the PDF file name - to allow us to have file names like "{{FirstName}} {{LastName}} {{ReceiptNumber}}.pdf"
This would be a more meaningful way to name pdfs, and more considerate to donors who make multiple donations and save their receipts.
Our organisation has two email addresses that we would like to send emails from for letterbox.
Donations receipts should come from our receipts@ email address, which is monitored by our finance team.
Other communications (e.g. regular giving welcome letters) should come from our donorcare@ email address, which is monitored by the donor care team who can help with more stewardship enquiries (updating details, cancelling regular gifts, etc).
Letterbox currently only supports one sending email address, which we set up to be receipts@ initially.
The current workaround is for one team to forward messages to the other, which while workable isnt the smoothest.
Could letterbox support more than one sending email address, and have it pivot on the template?

Our organisation maintains different templates for each of the two send methods. So, the receipts for Tax Appeal 2026 will have two templates. One for Email, and one for Mail.
Mail templates are printed on our pre-printed letterhead. This letterhead incldues our logo up the top and our contact information down the bottom. Our CEO signs every hardcopy letter.
Email templates are sent as pdfs, and so we include our Logo up the top and our contact information down the bottom as images. A version of our CEO's signature is included as an image as well.
We've made this work by having two Conditional templates (one for mail and one for email) but to be honest it's pretty arduous and very frustrating for the operator, as well as being clumsy to maintain.
The only difference is that the "Email" version includes images of the logo, contact information, and CEO signature.
Could the Conditional functionalty be made to know if a template is being sent by mail or email, and include or exclude particular content based on this?
Add last gift date fields (amount, date, and fund) for constituent letters
It would be useful to be able to select different templates for the gift email body depending on the gifts receipting. (e.g. receipting our payroll deduction gifts needs a different email body compared to daily gifts)
We use Aliases for some recognition information, rather than attributes (custom fields). It would be wonderful if we had the option to use this information in letters. Please consider adding it!
Include the same features used in Bulk Letters for soft credits in the Auto Send email settings
having the ability to add soft credits into giving summaries would be extremely helpful.
We need a way to have a hard copy of the email gift receipts.
Either a PDF of all email gifts receipts successfully sent or the ability to BCC on all emails. (This would allow us to capture the email and gift receipt attachment.) PDF is preferred.
we use the letter code to determine the letter that is generated. that means that every letter type would need to be the same for the soft credit version. We normally onky send the letter to the soft credit (unless it is the spouse). Example- we credit a Fidelity check for a hard credit and Mr. Smith for the soft credit. We only send the letter to Mr. Smith (and let him know the receipt will be ssued by Fidelity).
I would love to be able to preview and edit all the letters in one document before the pdf is generated that would attach each letter to the gift. It can be rather cumbersome to edit each letter page by page if needed or to find an error after the letter is generated and attach a new edited version once the correction is made.
I run a lybnt letter once a month and pull in last gift date and last gift amount. I can not use letterbox to do this letter currently because those merge fields are not available.
